This privacy notice sets out how we will process personal data we collect from or about you, or which you provide to us. Please read this notice carefully to understand why data is being collected and what we do with that data.
Our website and services may contain links to independent websites which are not provided by us. Such independent sites are not under our control, and we are not responsible for and have not checked and approved their content or their privacy policies. We may change this privacy notice from time to time by amending this page.

The personal information we collect from you will typically include:
Full name and contact details (including contact number, email and postal address). Information relating to your identity where required by law to comply with the Money Laundering Regulations 2017. Information on close connections where required to conduct conflicts of interest checks under regulatory obligations. Banking details where required, for example where letting or renting a property. Information on any access requirements you have, which may include special category personal data comprising details of any disability or other health information. Details about your areas of interest where you wish to receive marketing information. Usage information about your visits to our website, including URL data, pages visited, page response times, and how you browse the site. Technical information including device type, IP address, browser type and version, and operating system. Records of communications with us, including email and telephone correspondence.
We process your personal data on the following legal grounds:
Performance of a contract — to provide you with our products and services. Your explicit consent — where you have given us consent to receive electronic marketing, or to process special category personal data. Legitimate interests — to improve and promote our services and to better understand our customers, except where our interests are overridden by your interests, rights or freedoms. Legal obligation — where we need to comply with a legal requirement. Protection of vital interests — in rare circumstances where we need to protect your interests or those of someone else.
We hold and use your personal information to fulfil our obligations to you when providing our property services. To share information with others where necessary to fulfil those services. To comply with statutory and regulatory obligations including identity verification, fraud prevention and money laundering checks. To communicate with you during the course of providing our services. For statistical analysis to help us manage our business. To provide you with information about goods or services that may interest you, where you have given permission. To track use of our service in order to improve it. To notify you about changes to our service.
We retain your personal data for different periods depending on the service you have used, which may be longer than the period for which we need to hold it to provide those services — for example where we are under regulatory or statutory duties to hold data for a longer period or need to retain it in the event of a legal claim or complaint.
We pass your details to organisations who carry out certain activities on our behalf as part of providing our services. These include: property software providers, portal operators including Rightmove, solicitors and conveyancers involved in your transaction, identity verification and anti-money laundering providers, marketing and email service providers, and regulatory bodies including HMRC and the National Crime Agency. We will also disclose your personal information to third parties in the event of a business sale or acquisition, where required by law, or to protect the rights, property or safety of our company, customers, or others. We will not share your information with third parties for marketing purposes without your prior consent.
Your data will be held on secure servers within the European Economic Area with all reasonable technological and operational measures in place to safeguard it from unauthorised access. Where possible, identifiable information will be encrypted or minimised. You are responsible for keeping any username and password we provide to you confidential.
You have the right to request a copy of the personal information we hold about you (a data subject access request), and to request correction of information which is incorrect or out of date. These requests are free of charge and can be sent to Steve Bell, 5 Regent Street, Rugby, Warwickshire, CV21 2PE, or by email to steve@thecommercialpropertyexperts.co.uk.
You can ask us to delete or remove personal data where there is no good reason for us continuing to process it, where you have successfully exercised your right to object to processing, where you have withdrawn consent, or where we may have processed your information unlawfully. Note that we may not always be able to comply with your request of erasure for specific legal reasons, which will be notified to you at the time of your request.
You have the right at any time to withdraw consent you have given us to process your personal data. Withdrawing consent will not affect the lawfulness of processing carried out before you withdrew it. To change your consent preferences, contact sean@thepropertyexperts.co.uk.
You can ask us to suspend the way in which we are using your information in certain scenarios, or object to our processing where we are relying on a legitimate interest ground. Please note that restricting or stopping processing of your data may impact our ability to provide our services.
Where we process your data by automated means and on the basis of consent or contract, you have the right to request that we send a copy of your personal data to you or to another organisation. Contact sean@thepropertyexperts.co.uk to make this request. We will respond within one month.
If you wish to raise a complaint about how we have handled your personal data, contact Steve Bell at steve@thecommercialpropertyexperts.co.uk. If you are not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
